This Privacy Policy applies to PropertyOps, a property-operations software service operated by Dogwood Properties. PropertyOps is used to coordinate short-term rental operations such as reservations, turnovers, maintenance, inventory and supply activity, assignments, property tasks, and related operational communications.
This policy applies to information processed through the PropertyOps website, application, and related operational email and SMS communications. It does not replace the privacy policies of third-party services that may be integrated with PropertyOps.
2. Information we collect
Depending on how PropertyOps is used, we may process information such as:
- names, business contact information, email addresses, and telephone numbers;
- organization, property, reservation, and guest-related operational information;
- task assignments, turnover activity, maintenance activity, notes, status changes, and operational history;
- inventory, reusable-item condition, inventory-location, transfer, adjustment, and purchasing information;
- notification preferences, delivery records, message status, and related communication metadata;
- technical information needed to operate, secure, diagnose, and improve the service.
3. How we use information
We use information to provide and operate PropertyOps, including to:
- coordinate reservations, turnovers, assignments, maintenance, and other property operations;
- calculate and manage inventory and supply requirements;
- send operational notices to users and other authorized recipients;
- maintain transaction, activity, notification, and audit history;
- secure, troubleshoot, support, and improve the PropertyOps service;
- comply with legal, regulatory, security, and recordkeeping obligations.
4. SMS and mobile information
PropertyOps may collect and use mobile telephone numbers to send operational SMS notifications relating to PropertyOps activity. These messages may include reservation or turnover activity, task and maintenance assignments, inventory or supply exceptions, operational alerts, and other service-related notifications requested or enabled by an organization using PropertyOps.
Mobile information, text-messaging originator opt-in data, and SMS consent will not be sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. SMS consent is used only for the messaging program and operational purpose for which the recipient has consented.
Message frequency depends on operational activity and may include multiple messages on days when a recipient has active assignments or when an operational exception requires attention. Message and data rates may apply. Recipients may opt out of SMS messages at any time by replying STOP. For assistance, reply HELP or contact us using the information below.
Opting out of SMS does not prevent a user from using PropertyOps or receiving non-SMS communications that are otherwise necessary or authorized. Where SMS consent is collected, it is intended to be voluntary and separate from unrelated terms or required actions.
6. Retention and security
We retain information for as long as reasonably necessary to operate PropertyOps, maintain operational and audit history, support customers, meet contractual obligations, document messaging consent where applicable, and satisfy legal or security requirements. Retention periods may vary by information type and operational need.
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or loss. No system can guarantee absolute security.
7. Your choices and rights
You may request access to, correction of, or deletion of information when applicable, subject to legal, contractual, security, and operational recordkeeping requirements. Organization administrators may also manage certain user, property, notification, and assignment information within PropertyOps.
SMS recipients may opt out by replying STOP. Email recipients may contact us regarding notification preferences. Operational notifications may also be controlled by organization settings where available.
8. Third-party services
PropertyOps may integrate with third-party services. Information provided directly to or obtained from those services is also subject to their respective privacy terms. We encourage users to review the policies of services they connect to PropertyOps.
9. Changes to this policy
We may update this Privacy Policy as PropertyOps changes or as legal and operational requirements evolve. The effective date at the top of this page indicates when this version became effective. Material changes may also be communicated through the service when appropriate.
